Tutoring Website Design with Online Booking and a Parent Portal

A calm website and the whole back office behind it for a Pre-K to 5th grade tutoring practice in downtown Wake Forest. Families book a free call from real availability, then buy sessions and request times in their own portal, while the one teacher runs her day from her phone.

The brief

A one-teacher tutoring practice is two projects that rarely get built together. Parents are trusting a stranger with a child who is struggling, so the public site has to feel like a quiet room and a patient teacher, not a learning-center franchise. Behind it, one person handles the scheduling, the payments, the cancellations, the reminders, and the notes home that most practices juggle across a booking app, a payment link, a spreadsheet, and a text thread. The first version of the site read like a small private school, with six programs, a tour scheduler, and classroom imagery, and it described a business that did not exist. Moore Prep is one educator, Lana Millard, working with children in a small room at Hatch Coworking, and both the site and the system behind it had to be built around exactly that.

What we built

  • Rewrote the site around the real business: one teacher, three services (Tutoring, Homework Club, and Pre-K Readiness), and one quiet room in downtown Wake Forest, in place of a six-program catalog that read like a private school
  • Made a free 15-minute call the only way in, booked from Lana's real availability with the next open time shown under the button, so no family pays for anything before a conversation
  • Published plain per-session prices and bundles, and stated the cancellation rule in one sentence: cancel 24 hours ahead and the session goes back on the account automatically
  • Built a parent portal where an approved family signs the parent agreement, buys sessions by card through Stripe, and requests times Lana confirms, with siblings sharing one bundle
  • Kept every family's sessions on an append-only ledger, so purchases, bookings, cancellations, and refunds always add up and two approvals can never spend the same session
  • Gave Lana a phone-first back office for her day: Today, the calendar, requests, payments, the waitlist, and messages, with a session assistant that turns her dictated or typed notes into a draft note home she edits before anything is sent
  • Gave every child goals, notes home, and a progress report a family can share with a classroom teacher by private link, plus a year statement for taxes and benefits accounts
  • Told the story of Mason Moore, the boy the practice is named for, in its own section beside the St. Jude giving, so the site honors him without reading as a memorial
  • Named downtown Wake Forest, Hatch Coworking, parking, and hours on the page, and marked up the parent FAQ as structured data so local search can answer parents directly
